How to set your projects up for success from day one
Intake Overview
The intake process ensures both teams are aligned on scope, style, and expectations before production begins. Preparing the following items will help Kaedim deliver high-quality assets efficiently and consistently.
Goal: Capture all essential info before production begins.
Output: A well-defined request with references, notes, and intended use case.
Benefit: Faster delivery and fewer revisions.
1. Project Scope & Phases
Define deliverables for the full project timeframe and for each phase.
Break down by asset type and volume (e.g., 50 props, 10 weapons, 3 characters).
Clarify whether deliverables are for prototype, production, or live ops.
2. Sample Assets & References
Share an NDA if required before sending files.
Provide 2–3 representative sample assets for each asset type, with their corresponding concept art.
These are also used for custom style fine-tuning.
Ensure all files are complete and accessible (models, textures, reference docs).
Share via Google Drive or other secure file-sharing.
Confirm which stages are required per asset type (e.g., Weapons → High Poly Geometry, Optimized Geometry, Texturing).
3. Timeline & Milestones
Set milestone dates for each project phase.
Align delivery expectations with Kaedim’s pipeline capacity.
Define approval windows (e.g., 3 days to review geometry before moving to texturing)
4. Custom Style Fine-tuning Materials
These resources align outputs with your studio’s artistic and technical standards. They also enable Kaedim to train specifically on your custom style, without ever incorporating your IP into our general models.
Share additional models per asset type (beyond the initial 2–3 samples).
Provide internal documentation:
Art style guidelines.
Quality targets.
Technical requirements (poly count, texture sizes, unwrap techniques, shader requirements).
5. Platform Access & Support
Confirm which team members need access to Kaedim’s platform.
Join a private communication channel (e.g., Slack, Teams).
Agree on a check-in cadence:
Weekly syncs for active projects.
Monthly reviews for ongoing partnerships.
6. Kickoff Preparation
Invite all relevant team members to the kickoff call/meeting.
Ensure stakeholders are aligned on:
Scope, milestones, and approvals.
Roles (who gives feedback, who signs off).
Communication flow with Kaedim.
✅ Intake Complete → Custom Style Created → Production Begins Once intake is finalized, Kaedim locks requirements for each stage and can begin production.
